AI workflow automation your team can operate.
Jegnia designs AI workflow automation for recurring business processes: document intake, approvals, data entry, handoffs, and reporting. We are based in Toronto and build around the systems used by teams across Canada and the US.

Start with a process that happens often enough to measure and has a clear owner. Good candidates have repeated steps, accessible data, and a costly delay or handoff. A small, well-defined workflow is easier to validate than a request to automate an entire department.
If the process changes every time or nobody can explain how a correct result is judged, mapping the work comes first. Deterministic rules are often enough for data movement; AI is useful where interpretation, classification, or drafting is needed.
How we build the system
Map the work as it happens
We identify the trigger, inputs, systems, decisions, and exceptions. The workflow map includes the work people do outside the official process, such as chasing missing documents or checking a spreadsheet before approving a record.
Choose rules, AI, and human review
Predictable steps become explicit rules. AI can help interpret documents or prepare a draft, while uncertain or consequential decisions go to a reviewer. We define what happens when data is incomplete, a connection fails, or the system cannot reach a confident result.
Test the complete workflow
The build connects your CRM, email, databases, document stores, or internal APIs. Testing covers the normal path and realistic failures: duplicate events, missing fields, unavailable services, and rejected approvals. A successful individual AI response is only one part of a working process.
Launch with an owner and a runbook
Operators need to see what ran, what failed, and what needs attention. We include monitoring, documentation, escalation rules, and a handoff so the workflow can be maintained as your tools and business rules change.
What the scope can include
Workflow audit, system architecture, production build, documentation, deployment, and operating plan.
Tools and integrations
CRMs, email, ticketing, databases, ERP systems, document stores, and internal APIs.
Example: document intake and review
A document arrives, required fields are extracted, validation rules flag gaps, and an authorized reviewer approves the record before it syncs downstream. Our document-processing demo explains this architecture and the checks it needs; it does not claim a measured client outcome.

We establish a baseline before launch and choose measures that reflect the work your team needs to improve.
- Time from intake to approved completion
- Manual touches per completed workflow
- Exceptions and failures requiring intervention
- Accuracy checked against reviewed examples
Bring this to the first conversation
Bring one workflow, a few anonymized examples of normal and difficult cases, the tools involved, and the person responsible for the outcome. We use those examples to define a scope and a baseline before choosing technology.
Common questions
What is the difference between AI and ordinary automation?
Ordinary automation follows explicit rules, such as copying an approved record into a CRM. AI can interpret less structured input, classify a request, or draft a response. Most useful systems combine both and reserve important decisions for people.
Do we need to replace our existing software?
Usually the work connects tools you already use. We assess API access, permissions, data quality, and operational limits before deciding whether an integration or a new application is the better fit.
What happens when an automation fails?
The design includes failure visibility, retries where appropriate, and an escalation path. Operators should be able to identify a failed step and recover it without guessing whether the workflow already changed a downstream record.
How is project cost determined?
Cost depends on the workflow, integrations, data preparation, review requirements, and support scope. Jegnia scopes the system before quoting it; a useful first conversation starts with the work you want to improve.
